Permanently Deleting a Contact (Pre-Archiving Required)

Deleting contacts in RapidPro.app is permanent, so you can only delete a contact after moving them to the Archived folder—either by archiving an individual contact manually and then deleting it from Archived, or by archiving a whole group via a flow (Status = Archived) and using Delete All in the Archived folder after you’ve reviewed the list.

Delete contacts safely (pre-archiving required)

If you just need the essentials, follow this:

  1. Remember: deletion is permanent and can’t be undone
  2. Archive first: only contacts in Archived can be deleted
  3. Delete one contact: Archive → open Archived → Delete
  4. Delete in bulk: archive a group via a flow (Status = Archived)
  5. Review Archived, then use Delete All for final cleanup
  6. Troubleshoot common blockers (not archived, wrong status)

You’re done. Treat deletion as the final cleanup step after reviewing your Archived folder.

Step-by-Step Process

Understand the rules (deletion is irreversible)

Deleting contacts is permanent and irreversible. Once a contact is deleted, it cannot be recovered.

Important rules to know:

  • Deleted contacts cannot be restored.
  • A contact must be in the Archived folder before deletion.
  • Archiving can be done manually or via a flow.
  • Bulk deletion is only possible after archiving.

Manually delete an individual contact

Step 1 — Archive the contact

  1. Go to Contacts.
  2. Find the contact you want to delete.
  3. Check the box to the left of the contact’s name.
  4. Click Archive.

The contact is now moved to the Archived folder.

Step 2 — Delete the contact

  1. Open the Archived folder from the Contacts tab.
  2. Check the box next to the archived contact.
  3. Click Delete.
  4. Confirm the deletion.

Delete an entire group of contacts (bulk deletion)

Bulk deletion is done by archiving contacts via a flow, then deleting them from the Archived folder.

Step 1 — Identify contacts to delete

You can use an existing group, or find dormant contacts using the Last Seen On field.

  1. Search for contacts who haven’t interacted recently.
  2. Create a smart group (for example, Dormant).

Step 2 — Archive the group using a flow

  1. Create a new flow.
  2. Add an Update Contact action.
  3. Set:
  • Field: Status
  • Value: Archived

Start the flow and select the group (for example, Dormant).

All contacts in the group are now moved to the Archived folder.

Step 3 — Delete archived contacts

  1. Go to Contacts → Archived.
  2. Click the ☰ menu.
  3. Select Delete All.

Final warning: This action permanently deletes all archived contacts.

Know which statuses can be deleted

Contacts may have different statuses in your workspace.

Stopped

  • Contact has opted out
  • Removed from all groups
  • Cannot receive messages
  • Can opt back in by messaging you

Blocked

  • Used for abuse or spam
  • Incoming messages are archived
  • Cannot receive messages
  • Cannot auto-reactivate

Only Archived contacts can be deleted.

Best practices before you delete

  • Use Last Seen On to identify inactive contacts
  • Archive contacts before deleting
  • Use flows for safe bulk actions

Common Issues & Quick Fixes

Problem: I can’t delete a contact.

Fix: The contact must be archived first. Move the contact to Archived, then delete from the Archived folder.

Problem: I deleted the wrong contacts.

Fix: Deletion cannot be undone. Always review the Archived folder before deleting, and test with a small group before large deletions.

Problem: Contacts are still receiving messages after I “deleted” them.

Fix: Confirm they were actually set to Archived before deletion. Active or Stopped contacts can still appear in your workspace and may still message you.
