Exporting Message History (Incoming and Outgoing)

Exporting messages lets you download incoming and outgoing message data as a spreadsheet for reporting, audits, analysis, or sharing externally. You can export all messages across folders, or only messages from the folder you’re currently viewing. Optional filters (date range, contact field, group) help you limit the export to a specific period or audience. When the export is ready, you download it from the Notifications panel in the bottom-left of your workspace.

  1. Open the Messages export menu
  2. Choose message scope (all messages vs current folder)
  3. Apply optional filters (dates, fields, groups)
  4. Download the export from Notifications

Step-by-Step Process

Open the Messages export menu

  1. Go to Messages.
  2. Click the menu icon on the right-hand side.
  3. Select Export from the dropdown.

Choose what to export (message scope)

In the export dialog, choose the scope of your export:

  • All messages: exports messages across all folders (Inbox, Flows, Sent, Archived, etc.).
  • Just in this folder: exports only messages from the folder you are currently viewing.

Apply optional filters

You can refine your export by using optional filters such as:

  • Start date and end date (time range)
  • Contact field to include (extra contact metadata)
  • Group to include (limit export to a specific audience)

Download the export from Notifications

  1. After starting the export, open Notifications (bottom-left of the workspace).
  2. Click the export notification to download the file in your browser.

Note: Large exports may take longer to generate before they appear in Notifications.

Understand what’s included in the export

The exported spreadsheet may include columns such as:

  • Message date
  • Contact UUID
  • Contact name
  • URN type and value
  • Flow name (if applicable)
  • Direction (incoming or outgoing)
  • Message text
  • Attachments
  • Message status
  • Channel
  • Labels (if applied)

Common Issues & Quick Fixes

Problem: I don’t see the Export option.

Possible cause: You are not on the Messages page.
Fix: Navigate to Messages, then open the menu again.

Problem: The export doesn’t include all messages.

Possible cause: Just in this folder was selected.
Fix: Choose All messages to export messages from all folders.

Problem: I can’t find the downloaded file.

Possible cause: The export is still processing or the notification was missed.
Fix: Check the Notifications panel at the bottom-left of your workspace and wait for the export to complete.

Problem: Exported data is missing labels or fields.

Explanation: Labels and fields are included only when they exist on the messages being exported.
Fix: Verify labels/fields exist on your messages, then re-run the export with the correct scope and filters.
