To keep your workspace fast and focused on recent activity, RapidPro automatically archives messages and flow runs older than 90 days. Archived data is removed from day-to-day views (Inbox, Flows, and contact pages), but it remains available for download from your Account → Archives area. You can download archives as daily or monthly files, and use them for reporting, audits, and long-term analysis. If you rely on the API for historical data, use the Archives API endpoint for items older than 90 days.

When multiple channels are connected to your workspace, RapidPro automatically decides which channel to use when sending a message to a contact. By default, the platform uses a combination of the contact’s address type, previous inbound interaction history, and channel availability. For new contacts with no prior interaction, RapidPro may choose a channel using prefix overlap (the closest match between the contact’s address and the channel address). If you need full control, you can override the default behavior by setting a preferred channel in a flow.

With the API, you can manage contacts (create/update), start flows for contacts or groups, send messages programmatically, and retrieve data such as messages, flow runs, and results. To get started, review the API documentation and use the API Explorer to test endpoints, then generate an API token from your account settings to authenticate requests. For historical data older than standard retention windows, you may need to use Archives endpoints.
